What is a line-manager online account

A line-manager account allows a user to gain access to their staffs training histories and to book them onto courses directly using our online booking system.

 

The below informs on how to upgrade your account and how to use the line-manager access.

How do I get a line manager online account

You will need to have an on-line account set up first.

 

For us to upgrade your online account, we require your line manager to send an email to wdu@york.gov.uk authorising access.  A line-manager online account needs to be renewed every 12 months.

How do I book staff on a course

  1. Log in to your account
  2. Browse for the required course and click on it for details
  3. Click on “Enrol delegate
  4. Find the member of staff in the list and click on “enrol” next to their name
  5. Click “Proceed” to book
  6. Click “Close Window
  7. Both the delegate and the organisation will receive an email confirming the place with event details including date, times, location and any other information

How do I see or print my staff’s event history

  1. Log in to your account
  2. At the top left hand side of the screen move the mouse pointer over “Training” and click on “Staff training history


This brings up a list of all the staff in your organisation, at this point you can either review individual records or all staff records.

 

Individual records:

  1. Click on the link next to the individual’s name for training history, qualifications or competencies (there will only be a working link if there is information recorded)
  2. To view, print or save a copy of the individual’s report, click on “Print Training History” at the right hand side of the screen
  3. Check the options for date period, or anything else you require
  4. Click on “Run Report”
  5. To print or save the report, click on “Print” at the top left of the screen
  6. Select your printer or PDF Creator option from the list, then click Print. Your document will print or allow you to save a PDF document to your computer

All staff records:

  1. To view, print or save a copy of the full report, click on the “Run Staff Training History Report” at the right hand side of the screen
  2. Enter the dates you want the report to cover; you can either enter the date directly or click on the calendar symbol next to the date boxes to pick the date instead
  3. Complete any other options you want to choose, and then click “Run report” at the top left hand side of the screen
  4. Click “Print”, this will bring up the printer options for your printer
  5. Select your printer or the “PDF creator” option from the list, then click the “Print”. Your document will print or allow you to save a PDF document to your computer

How do I manage my staff’s event applications

  1. Log in to your account
  2. At the top left hand side of the screen move the mouse pointer over “Training” and click on “View Staff Applications” 
  3. You will see a list of staff booked on future events
  4. Click on any row to bring up options: “event details”, “person details”, “pre-enrolment checks”, “approve” (if not booked), “not approve” (if booked) and “email person”
  5. To use any option ensure you have clicked on the appropriate row first
